Information we collect
We collect the information needed to respond to enquiries, manage bookings and provide safe, suitable activities. This may include parent or carer contact details, a child’s name, date of birth, school, emergency contacts and information you choose to give us about medical needs, allergies, dietary requirements, medication, SEND or additional support needs.
Why we use it
We use information to communicate with you, administer bookings, safeguard children, plan appropriate support, manage attendance and meet our legal and insurance responsibilities. We only ask for information that is relevant to these purposes.
Photos and videos
We will ask for your permission before using identifiable images or video of your child for publicity, social media, our website or reporting. You can change your mind by contacting us.
Booking and online forms
Online bookings are managed through Kids Club HQ. Some enquiries and free-trial requests use Jotform. These providers process information submitted through their services. Our website does not load Jotform forms until you choose to open one. Please also review the relevant provider’s privacy information before submitting a form.
Sharing and keeping information
We do not sell personal information. We only share it where needed to deliver a service, protect a child, meet a legal duty or where you have asked us to do so. We keep information only for as long as it is needed for the purpose it was collected for, or to meet legal, safeguarding, insurance or accounting requirements.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, ask us to restrict or stop certain processing, or raise a concern about how it is used. Please contact us first and we will respond. You can also raise concerns with the Information Commissioner’s Office.
